Malaysia Factory Relocation to Alam Jaya Business Park, Johor Checklist

 

Beginning

1.  Select a project manager and committee to strategize the relocation.

The project manager can be anybody even an accountant. Skills needed are coordinating, liaising and well-likened to get support from key stakeholders. You as a director or GM, clearly list your targets on what and when you want to achieve.

It is a very good opportunity during the relocation period to pre-plan your new factory layout for efficiency, clean out old stocks and upsize/downsize operations according to your output projection.

 

2.  Gather the support of a committee to assist project manager.

The committee compromises of key stakeholders of the factory. They are your managers and department heads that can provide valuable inputs. The best person to know are the ones facing the challenges each day. They know where to place machineries so workers travel less; turnover perishable raw materials quickly; how many toilets to allocate for male/female.

 

 

 

 

 

 

 

 

 

 

3.  Congratulations! Announce your move.

Announce to your staff, suppliers, and vendors about new factory location and when the company are moving. Do not announce too early if you don’t want your competitors to know. Make sure to explain to your existing staff to understand the benefits of the new location in terms of convenience to their home, more spacious workplace and pantry, better work environment. People are generally reluctant to change when they are comfortable. Explain to your shareholders about the cost, efficiency and property appreciation benefits.

 

Months before, list the items you will keep, throw away and buy new. During the move, each staff is responsible for their own belongings including their desk, computer and tools. Factory manager will have to plan the downtime of each machinery in stages and how to move them around. You may not have a spare forklift or hoist.  Remember, the factory relocation is a team effort and everybody needs to put their contribution in.

As this is a first for me, this checklist is going to be updated from time-to-time when more information pertaining to the item arises.

Pre-plan and decide the scope of your renovation. Renovation and construction can only take place after Certificate of Fitness for Occupation (CF) has been issued.

No Objection Letter / Surat Tiada Halangan, Pejabat Tanah dan Galian Johor (est. 1.5 months)

Water (Suruhanjaya Air Johor)

New occupant have to apply for new account. Industrial accounts are not transferrable from existing to new factory.

 

Electrical Supply (Tenaga Nasional Berhad)

New occupant have to apply for new account. Industrial accounts are not transferrable from existing to new factory.

Documents needed for new company application:-

o   Application form with Director’s signatory and company stamp; (obtain from Kedai Tenaga);

o   Copy of Director’s IC or passport (both sides);

o   SPA or Tenancy Agreement for new premises;

o   Letter of authorization with company letterhead, if someone other than signatory is present;

o   Borang 9, 24 & 49 (if Sdn Bhd);

o   Borang D or Borang E (if Sole Proprietorship);

o   Borang 8 & 23 (if Berhad);

o   Borang 79, 80/80A & 83/83A (if foreign company);

o   Company chop;

o   RM10 stamp duty;

o   Pay deposit (Amount to be given by TNB, usually 2 months bill).

 

Internet & Telephony (Telekom Malaysia, Maxis, Redtone)

Internet and telephony services in Alam Jaya is being primarily being served by Telekom Malaysia’s Unifi. Other service providers include Maxis and Redtone. As all service providers are serving using the same fiber connection, choosing service provider should be based on customer service and cost.

New occupant have to apply for new account. Documents needed for new company application:-
